How I Completed Two ELICOS Initial Applications in 2022

In 2022, I had the pleasure of successfully completing two ELICOS Initial Application submissions. Each application was accepted without any requests for additional documents. After approximately six months of waiting, one application underwent a Zoom audit, while the other was reviewed through a phone audit. Within one to two months of these audits, my clients received their approval letters.

It may sound simple and straightforward, but there were key steps I took to ensure a seamless process—insights I’d like to share with you today.

A Well-Prepared Submission Brings Positive Outcomes

A well-prepared submission led to a few pleasant surprises. The audits were short and even began with compliments. One audit lasted only 25 minutes, while the second started with the auditor saying, "It was a pleasure reading your documents," right after introductions. No additional documents were requested for the first audit, and for the second, the only request was to submit a list of substitute teachers.

How to Submit a Successful ELICOS Initial Application

If you’re preparing to submit an ELICOS Initial Application, here’s my advice:

  1. Read the Self-Assessment document thoroughly – Follow the instructions carefully, including providing an index page and attachments as requested.

  2. Prepare facility documents properly – Submit a well-prepared lease agreement, 9B certificate, and floor plan. If your lease is a sublease, ASQA may request a head lease agreement—have this ready in advance.

  3. Provide all required compliance documents – Ensure you include all documents relevant to the National Code 2018, ESOS Act 2000, and ELICOS Standards 2018.

  4. Question any requests outside the audit scope – If the auditor asks for something beyond the expected requirements, don’t hesitate to seek clarification.

  5. Create a thorough site video – Be transparent and don’t leave anything out.

    • Start recording outside the facility, introducing its location.

    • Walk through the entire premises, explaining room capacity, facilities, equipment, and resources.

    • Show the resources in the video to confirm you’ve purchased them, as per your submitted list.

    • Keep receipts for purchased resources, as you may be asked to provide proof.
